Position: Executive Administrator to CFO/COO & Assistant to Director of Operations

Report To: CFO/COO & Director of Operations

Classifications: Part-time – up to 25 hours per week, hourly

Hours: Normal Office Hours – Monday – Thursday, 9am – 3pm with some flexibility, special events as needed

  • Under the oversight of the Director of Operations, is responsible for the following:
  • Manages the calendar for the CFO/COO including scheduling appointments, meetings etc. and reviews daily 
  • Performs logistical coordination of meetings, video conferences, and conference calls, including arranging facilities, catering etc. for VIP meetings
  • Assists with the generation and maintenance of time sensitive materials 
  • Coordinates travel plans and itineraries
  • Prepares correspondence on behalf of CFO/COO 
  • Reconciles CFO/COO’s & Director of Operations’ credit card transactions
  • Attends meetings upon requests, transcribes, organizes and maintains meeting notes for CFO/COO 
  • Provides CFO/COO with meeting materials to ensure prepared participation in meetings and appointments
  • Manages incoming phone calls and screens callers accordingly to appropriate department and emails and prepares responses to routine inquiries
  • Maintains organization of electronic files
  • Manages a variety of special projects as determined by Director of Operations
  • Assists with special events as needed


  • Proficiency in Microsoft Office, willingness to learn accounting software – Intacct, Nexonia, working knowledge of basic office equipment. Physical requirements: Must be physically able to push,  pill, reach, kneel and occasionally lift up to 30 pounds. Work is often sedentary but also involves walking and standing for periods of time.
  • Minimum of seven years in a senior administrative role providing executive level support; Bachelor’s degree preferred
  • Excellent written and verbal communication skills
  • Strong interpersonal skills; the ability to work collaboratively with internal team members of the organization and the public; represents the Company in a friendly, professional and positive manner while building/maintaining positive relationships
  • Displays high level of business acumen; exercises sound business judgement; maintains professional office decorum
  • Maintains sensitive data; protects confidentiality and exhibits discreetness in all interactions
  • Displays strong organizational skills, attention to detail and is committed to follow through in the completion of tasks and projects 
  • Effectively manages and balances competing demands and changing priorities with minimal supervision, in a composed manner while under the pressure of deadlines
